When will my W2 be available?

Your electronic version will be available by 1/30/23. You must consent to receive your electronic version by logging into Self Service Portal.

Printed W2's will be postmarked by 1/27/23.

What if my address is not correct on my W2?

IRS will accept with incorrect address. Payroll uses the address on file to mail your document. USPS will not forward official tax documents. It will be returned to Payroll and delay receipt of your form. You may at any time change your election to receive an electronic W2. Login to Self Service Portal to update your address.

What if my W2 does not match year to date numbers on my last pay stub?

Your paystub is your total calendar year earnings statement. Your W2 reports only the taxable earnings. The total earnings will be reduced by non-taxable deductions. This includes Flex 125, mandatory retirement contributions and elected contributions to 403(b) and 457 accounts.

What if Box 1 Wages, tips and other compensations do not match box 3 Social Security Wages?

Student and Federal Work Study earnings are excluded from Social Security Wages. Retirement contributions are not excluded from Social Security Wages. Social Security Wages has a maximum reporting limit of $147,000 for 2023.

What if Medicare tax withheld does not equal 1.45% of Medicare wages and tips?

Medicare wages and tips, box 5 are taxed at 1.45%. There is no limit for Medicare wages and tax. Reported wages in excess of $200,000 in box 5 will have an additional tax of .9%.

What are the codes reported in box 12?

Elective deferrals for 403(b) and 457 accounts will be reported in box 12. Employee’s taxable portion of group-term life insurance over $50,000 will be Code C. This amount has been added to box 1, 3 and 5. 403(b) deductions will be code E. 457 deductions will be code G. See the back page of your W2 for a full list of codes.

Where is the CA SDI tax reported on the W2 form?

Employees paying to the California State Disability program will find the SDI deduction in box 19. Box 20 will be labeled as CA-SDI.

What should I do if I believe my W2 is wrong?

Payroll has done an audit of the W2 forms issued. If you feel that there is an error, contact the Payroll Department and indicate where you think the error is so they may do further research.
